Tasks in context

Keep the action connected to the thinking behind it.

Tasks often begin inside notes: a decision in a meeting, a line in a plan, or a follow-up discovered during research. Trellvia uses one canonical task model so an action can live inside its source document and appear in the unified Tasks workspace without becoming a disconnected duplicate.

Trellvia Tasks workspace showing personal, work, and document tasks with due dates

Standalone tasks · embedded tasks · due dates · reminders

01

One task, many useful views

Complete or reschedule a document task from the note, dashboard, reminder center, or Tasks workspace.

02

Context stays attached

Document tasks retain a direct route back to the note and folder where the work began.

03

Attention without alarm

Clear due-state language and optional reminders surface what matters without manufacturing urgency.

01

Unified work

Bring personal, grouped, and document tasks together

The Tasks workspace starts with ungrouped Global tasks, continues through the lists you create, and then brings in tracked tasks from your documents. Each row shows the information needed to act while preserving its original source.

  • Global tasks and named task groups
  • Tracked checklists from documents
  • Open, due-soon, and 90-day completed views
02

Useful scheduling

Treat a due date like a deadline, not a productivity score

Incomplete work is ordered by due date, with overdue and near-term tasks made clear in words as well as color. Quick rescheduling handles ordinary changes, while exact dates and independent reminders remain available when a task needs more care.

  • Quick choices for tomorrow, three days, or one week
  • Independent due dates and reminder timestamps
  • Automatic attention for overdue and due-today work
03

Shared responsibility

Assign work without opening every private list

In a team workspace, task assignment is deliberately narrow. A teammate sees the task they were assigned, not an account-wide feed of private work. Tasks inside shared documents continue to follow that document's access rules and current version.

  • Workspace, assigned-to-me, and created-by-me scopes
  • Per-assignee reminders that stay private
  • Immediate removal of access after revocation or membership changes

Common questions

Tasks in context, explained.

Can tasks live inside notes?

Yes. Checklist items can become canonical Trellvia tasks and appear in the unified Tasks workspace while remaining inside their source document.

Are due dates and reminders the same thing?

No. A due date describes the deadline. A reminder is an optional time to surface the task, and the two can be managed independently.

Can I organize standalone tasks into lists?

Yes. Trellvia supports a Global list plus named, color-coded task groups for standalone work.
